meeting. If you need services not listed,
please feel free to contact the Convention
Services department and we will provide
suggestions.
- PROPOSALS
Your CVB sales representative can prepare
a formal proposal for your group complete
with hotel and motel room rates,
facilities, amenities and other pertinent
information. Each bid is customized to
meet your specific needs.
- PRESENTATION
Your CVB sales representative is available
to make a proposal presentation to your
membership, board or committee.
- SITE
VISIT
Gain a first-hand look at what Springfield
has to offer you and your attendees. We
would be pleased to plan a customized tour
of the city and provide complimentary
accommodations to pre-qualified planners.
- SHUTTLE
SERVICE
With notification during the bid process
and a minimum block of 400 rooms during
peak night, shuttle service can be
arranged between the headquarter hotel and
overflow properties.
- CENTRALIZED
HOUSING
A Web-based reservation service is
available for groups with a minimum block
of 400 rooms during peak night. This
service includes reservation forms,
acknowledgement forms and reservation
reports.
- REGISTRATION
ASSISTANCE
With a minimum block of 200 rooms on peak
night, the CVB will be happy to provide
you with personnel to assist with meeting
registration.
- PLANNING
ASSISTANCE & CONTACT LIASON
Planning assistance is provided to help
make your meeting a complete success. This
service includes assistance with outside
services such as spouse activities, pre
or post-conference tours, memorial
service, color guard, entertainment,
photographers and caterers, just to name a
few.
- OFFICIAL
CITY WELCOME
Please let us know if you would like a
City or CVB representative to provide a
welcome address during your event.
- ATTENDEE
NAME TAGS
Name tags can be provided for each
attendee. We can print name tags at 10
cents a line or provide name tags for you
to print at no charge.
- MARKETING
AND PUBLIC RELATIONS ASSISTANCE
News Release
Our communications staff can assist you
with writing and distributing a news
release to help promote your upcoming
event to local and/or appropriate trade
media.
Media Contacts
A media database of area and local media
contacts is available for your use.
Online Event Calendar
Any events open to the public can be placed
on the CVB Web site online calendar of
events at no extra charge.
Video
A promotional video of Springfield is
available in VHS, DVD or Web link options.
Advance Promotional Materials
At your request, the CVB will provide a
complete visitor information packet
including the Official Springfield Area
Visitors Guide and Adventure Savings
Passport to each of your attendees in
advance of your event to promote
attendance or to help them make pre and
post-event plans.
Broadcast E-mail
Let us help boost attendance at your event
by sending a broadcast email to your
prospective attendees. The e-promotion can
contain links to your organization's home
page, registration information as well as
the official Springfield Web site.
Photography
With prior approval, the CVB's extensive
photo gallery featuring all there is to do
and see throughout Springfield and the
area is available for use in event
publications or your organization's Web
site to promote Springfield as your host
city.
On-Site Promotional Materials
Once your attendees are in Springfield,
you may wish to provide an information
packet with area attraction brochures,
Official Springfield Area Visitors Guide,
Adventure Savings Passport and your
registration information. By request, the
pre-stuffed packets can be made available
for your members upon registration.
Hospitality Table or Information Booth
During registration or other high-traffic
times, an information booth can be staffed
to provide details about what there is to
do and see in the city.
VIP Gifts
With prior approval, the CVB can provide a
Springfield logo gift item for VIP and/or
board members. Items vary in product and
quantity.
